Velvac Online Store – Privacy Policy 

This Privacy Policy describes how Velvac, Inc. (“Velvac,” “we,” “us,” or “our”) collects, uses, and discloses personal information when you visit, use, or make a purchase or other transaction using our online store and related services (the “Services”), or otherwise communicate with us. 

The Services are powered by Shopify, which enables us to provide the Services to you. If there is a conflict between our Terms of Service and this Privacy Policy, this Privacy Policy controls with respect to the collection, processing, and disclosure of your personal information. 

At launch, the Services are intended for: (i) B2C/DTC customers in the United States, and (ii) B2B customers in the United States and Canada. We may expand regions in the future and will update this Privacy Policy accordingly.

2. Personal information we collect 

We may collect personal information from you directly, automatically through your device, and from third parties in connection with the Services. 

2.1 Information you provide to us 

  • Contact details (such as name, email address, phone number, company name, and shipping/billing address). 

  • Account information (such as login credentials and account preferences) when you create or use a customer account. 

  • Order and transaction details (such as products purchased, order number, purchase history, and communications about your order). 

  • Customer service communications (such as messages submitted via our embedded form or email communications with orders@velvac.com for logged-in B2B customers). 

Payment information: Payments are processed through Shopify at checkout. Velvac does not store full payment card numbers; we may receive limited payment-related data (such as tokenized payment identifiers) necessary to process refunds and manage orders. 

2.2 Information collected automatically 

When you visit or interact with the Services, we (and Shopify and our service providers) may automatically collect certain information about your device and usage, including: 

  • Device and browser information (such as IP address, device identifiers, browser type, and operating system). 

  • Usage information (such as pages viewed, referring/exit pages, and interactions with site features). 

  • Cookies and similar technologies (see Section 6). 

Analytics: Analytics are enabled by default for visitors in the United States as well as cookie banners. Google tags are used; Google Consent Mode is implemented.  

3. How we use personal information 

  • To provide and operate the Services (including account creation, order processing, payment processing, shipping, returns, and customer support). 

  • To communicate with you about your account, orders, returns, warranty claims, and other transactional or service-related messages. 

  • To detect, prevent, and investigate fraud, abuse, and security incidents and to protect the Services. 

  • To improve and optimize the Services, including through analytics and performance measurement. 

  • To comply with legal obligations and enforce our Terms of Service. 

Marketing communications: At launch, Velvac does not plan to send promotional email or SMS marketing via the Shopify site. If we introduce marketing programs (e.g., newsletters, SMS), we will update this Privacy Policy and provide appropriate opt-in/opt-out mechanisms. 

4. How we disclose personal information 

We may disclose personal information to the following categories of recipients: 

  • Shopify, to provide the Services and host the online store. 

  • Payment processors, to process payments and refunds. 

  • Shipping carriers and logistics providers, to fulfill deliveries and returns. 

  • Service providers that help us operate the Services (such as IT, security, analytics providers, and customer support tools. 

  • Professional advisors (e.g., legal, accounting) and as part of corporate transactions (e.g., merger, acquisition), as permitted by law. 

  • Government authorities or other parties when required by law, subpoena, or to protect rights and safety. 

5. Targeted advertising and “selling/sharing” 

At launch, Velvac does not plan to run targeted advertising or remarketing campaigns (such as Meta/Google Ads retargeting), upload customer lists for ad matching, or implement server-side advertising event forwarding. This may change in Phase 2; if so, we will update this Privacy Policy and, where required, provide opt-out choices. 

Shopify’s data sharing opt-out page (“Do Not Sell or Share”) is not planned for Phase 1, and Global Privacy Control (GPC) signals are not honored at launch. These features may be considered in Phase 2. 

6. Cookies and similar technologies 

We use cookies and similar technologies to operate the Services. Some cookies are necessary for the Services to function (“essential” cookies). We also use analytics cookies at launch for visitors in the United States. A more robust cookie management platform (CMP) may be implemented in a later phase. 

You can control cookies through your browser settings. Note that disabling cookies may affect functionality. 

7. Data retention 

We retain personal information for as long as necessary to provide the Services, maintain business records, comply with legal obligations, resolve disputes, and enforce agreements. Retention periods may vary by data type and purpose. 

8. Your choices and rights 

Depending on where you live, you may have rights to access, correct, delete, or obtain a copy of your personal information, and to appeal certain decisions. Velvac is implementing an internal workflow for handling privacy requests.

If you are a Canadian resident, you may have rights under applicable Canadian privacy laws; we will respond in accordance with applicable requirements. 

9. Children’s privacy 

The Services are not intended for children. We do not knowingly collect personal information from children. 

10. International transfers 

Personal information may be processed in the United States and other locations where Velvac, Shopify, and our service providers operate. If you are located outside the United States, your information may be transferred to and processed in the United States. 

11. Changes to this Privacy Policy 

We may update this Privacy Policy from time to time. The “Last updated” date above indicates when this Privacy Policy was last revised. Your continued use of the Services after changes become effective constitutes acceptance of the revised Privacy Policy.
